Administrative Assistant in the Students Training Unit at Faculty of Pharmacy

Job Information

  • Job Title: Administrative Assistant
  • Job Location: Alamein International University, New Alamein City, Matrouh Governate 
  • Job Nature: Full Time
  • Working Hours: 9 am-4 pm, 5 days a week  
  • Contract Duration: One-year contract, renewable based on performance evaluation and university needs. 

Duties and Responsibilities:

  • Organize students files and training records.
  • Coordinate with training units and organizations.
  • Respond to students questions and requests 
  • Handle unit correspondence (e-mail, memos, external letters, etc.).
  • Coordinate all logistics for events including: booking venues, catering, setting of venues, security approvals.
  • Coordinate meeting agendas and record and document meeting minutes.
  • Follow up on units daily activities.
  • Provide general administrative support to the unit director.
  • Create and maintain an efficient filing and record keeping system.
  • Support and facilitate the completion of regular reports.
  • Perform other duties as required.

Minimum Job Requirements:

  • Bachelor’s degree from an accredited university, graduation year 2013 or recent.
  • Maximum age should be 35 years in 1/7/2025.
  • 5 years minimum proven work experience in university students’ training/affairs work.  
  • Excellent command of English and Arabic, written and spoken (Voice recording with application is a must).
  • Excellent interpersonal, communication and administration skills
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Ability to handle multiple tasks simultaneously with prioritization. 
  • Able to communicate professionally in Arabic and English.
  • Proficiency in MS Office
  • Ability to create sophisticated presentations.
  • Integrity and professionalism.
  • Applicant must hold Egyptian citizenship.

Assessment Method:

Short-listed candidates will be invited for interviews and exams.
